Copying a document category
Prerequisites
- Access to the Configuration > Document > Category (DC043) menu.
- Previously configured category.
Introduction
SoftExpert Document allows copying an existing category, including its structure, which makes it easier to create new categories based on already defined configurations.
This feature speeds up system configuration and contributes to the standardization of categories.
Copying a category
1. Access the Configuration > Document > Category (DC043) menu.
2. Perform a search so that the category hierarchy is displayed.
3. Select the category that will be copied. To copy a complete structure, that is, a parent category and its respective subcategories, simply select the parent category and follow the procedure described below.
4. Expand the More option and click on the
toolbar button.
5. At this point, the copy screen will open.
6. The Copied categories column shows the category structure that is being copied, that is, the parent category with its subcategories, if any.
7. The ID # field displays the ID # of the category being copied with the "_Copy" ending, and it can be edited. In that case, enter a number or code to identify the new category created from the copy. The ID # of the new category cannot be the same as the ID # of the copied category.
8. The Name field displays the same name as the category being copied, and it can be edited. In this case, enter the name of the new category.
9. Once done, click on the
button. At this point, the new structure or single category will be displayed in the hierarchy of the main screen. The system will copy the information to the new category, with the new ID #s and names, and it will be possible to make changes.

Configurations referring to revision control, electronic file (general and archiving), and security are not copied when duplicating a category. After copying, these configurations must be performed again in the new category.
Conclusion
With category copying, it is possible to reuse existing structures, reducing configuration time and ensuring greater consistency between categories. After copying, verify and adjust the necessary settings to meet the needs of the new category.
