Signing a document via SignOn

Prerequisites

  • Signature configuration associated in the document category.
  • User on the document security list with the "Sign" control allowed.
  • Access to the Document (DC010) menu.
  • SignOn account with API support.

 

Introduction

Electronic signatures are different from digital signatures, as they require integration between external platforms and SoftExpert Document. The initial procedure, however, is basically the same as the digital signature.

To sign the electronic files of a document, it must have a SignOn electronic signature configuration associated with its category.

See below the steps to electronically sign a document via SignOn:

 

Signing a document

1. Access the Document (DC010) menu.

2. Locate and place the mouse cursor over the document.

3. Expand the "More" button and click on Sign electronic file.

4. If there are multiple electronic files in the document, a screen will be displayed to confirm the selection of the files you want to sign.

5. Configure the following features:

Defining the sending order Check this option to define an order to sign the file. Thus, SignOn will notify the signatories in a numeric order until all of them sign it.
Name Enter the name of the signatory.
E-mail Enter the e-mail of the signatory.
SSN Enter the SSN of the signatory, if desired.
Phone # Enter the phone number with the area code, if desired.
Signature type Click on the option that corresponds to the way the signatory will sign the document. Use the Add new signer option at the bottom of the screen to add a new signatory.

6. Once the fields are filled out, click on Next step.

7. On the screen that will be displayed, enter the deadline and the message text that will be sent to the signatories.

8. Click on Send. At this point, the document will be sent to SignOn and the signatories will be notified to sign.

  • After signing the document, click on the green icon in the DS column to view the signature data in the electronic file. Through the DS column, it is also possible to view the signature status of the electronic file. Hover the mouse pointer over the icon to identify what it represents.
  • To sign several files at once, select the desired documents, expand the Mass actions button, and select the Sign electronic file option.
