Signing a document via SoftExpert Sign

This signing tool has been available since version 3.0 of the system.

 

 

Prerequisites

  • Signature configuration created by script and associated with the document category.
  • User on the document security list with the "Sign" control allowed.
  • Access to the Document (DC010) menu.

 

Introduction

SoftExpert Suite has its own digital signing tool called SoftExpert Sign.

This solution was developed in partnership with BRy, increasing security, performance, and autonomy for document signing.

With this signing tool, digital signature and electronic signature operations are now performed natively, without depending on external resources, which ensures greater stability and integration between the system's modules.

To sign the electronic files of the document with the native signing tool, it is necessary to have an electronic signature configuration via SoftExpert Sign associated with the category.

 

Signing a document

1. Access the Document (DC010) menu.

2. Locate and place the mouse cursor over the document.

3. Expand the More button and click on Sign electronic file.

4. On the screen that will be opened, fill out the following fields:

Document language Select the language in which the signer's notification e-mail will be sent.
Defining the sending order Check this option to define the signature order of the file. With this, the system will notify the signer in numerical order until all of them have signed.
Name Enter the signer's name.
E-mail

Enter the signer's e-mail.

Phone # Enter the signer's phone number with area code.
SSN Enter the signer's SSN.
Signature type Select how the signer will sign the document. Click on the Add new signer option, at the bottom of the screen, to add a new signer.

5. Once the fields are filled out, click on Next step.

6. Enter the subject and the deadline for signing.

7. Click on Send for the signers to be notified and sign.

  • After signing the document, click on the green icon in the DS column to view the signature data in the electronic file. Through the DS column, it is also possible to view the signature status of the electronic file. Hover the mouse pointer over the icon to identify what it represents.
  • In case the signature configuration is parameterized to allow the envelope to be edited, it will be possible to click on Edit envelope to change the envelope title, the signers, and the signature position.
  • To sign several files at once, select the desired documents, expand the Mass actions button, and select the Sign electronic file option.
