Blocking the use of obsolete functions

From versions 2.2.0.388 and 2.2.1.145 onwards, new rules related to the use of depreciated formulas in the system have been implemented.

After December 31st, 2024, it will not be possible to start workflows if depreciated formulas are identified in forms or process activities. However, instances that are already under execution can continue to use the formulas with no interruptions.

From June 30th, 2025, depreciated formulas will completely cease to be executed by the system.

 

 

Responsibility control with fixed & unique, fixed, or variable-type routes in the workflow

Now, it is possible to submit an instance for approval using a responsibility route, which can be of the fixed & unique, fixed, or variable type. The purpose of this feature is to provide new options for configuring and executing approvals in the workflow. 

With this resource, the approval activity will follow the responsibility route, ensuring that the process will only be completed when all steps are finished. This ensures that the workflow continues correctly, providing greater control and precision when executing approvals.

  • Fixed & unique executor: acts based on a pre-established and rigid route, in which the steps and deadlines are defined in advance and must be strictly followed. This executor type is ideal for processes that require high standardization and control, such as formal approval of documents or compliance with regulations.
  • Fixed executor: acts based on a pre-established route; the route can be changed in the workflow, but its information cannot be edited.
  • Variable executor: operates more flexibly, adapting to changes and adjusting its actions according to the progress of the process. It is more common in draft steps, in which creativity, continuous revision, and adaptation to emerging project needs are crucial.

This feature provides a more efficient and organized way of handling draft and approval tasks in your workflow.

 

Workflow start parameters

We are launching a new workflow initialization parameter resource that makes it easier to optimize and customize the execution of workflows. 

With this new feature, users will be able to use predefined parameters directly in the forms for each process, allowing workflows to be configured and started with standard data quickly and efficiently. 

This grants more flexibility to adapt flows to different scenarios, in addition to ensuring greater consistency in the execution of repetitive or complex processes, promoting more agile and automated management.

The types of fields available for configuration include: Text , Paragraph, Boolean, Number, and Decimal.

 

New element associations in the workflow

In this version, we introduced an improved screen for associating elements in the workflow, with a more elegant and intuitive interface. 

Now all elements linked to the workflow are displayed in a clear and organized way on a single screen, facilitating the visualization and management of associations.

In addition, new products have been added for association, such as storeroom, initiative, program, training, and nonproject task.

With this feature, the user does not have to browse between products to create these objects and then associate them, which streamlines their daily activities. 


Off-line workflow execution

Rich text support in workflow start

Now, it is possible to use rich text when starting workflows directly through the app, which offers more options in form configuration. 

Previously, processes that used rich text could not be started with the online application. With this improvement, users gain greater flexibility to customize their forms with advanced formatting, ensuring a more complete and adaptable experience in workflow executions.

 

Variable support

In this version, variables are also available when starting workflows

This allows for greater flexibility and customization of processes, allowing users to configure dynamic parameters when starting the workflow, adapting it according to the specific needs of each execution.

This feature improves efficiency and precision in process automation.

 

Support to new rules

New rules have been added to off-line forms.

It is now possible to use the "Open external page", "Execute another rule", and "Read QR Code" rules when starting workflows through the application.

These new options expand the functionality of off-line forms, allowing for more dynamic and flexible interaction during the start of workflows, even without an internet connection. This offers more practicality and autonomy for users in remote or off-line use scenarios.

 

Workflow execution

Now, in addition to starting tasks, it is also possible to execute them in the application in off-line mode

All available activities will be listed on the new Tasks screen, which can be used to access both started activities and those that still need to be executed.

With this update, users will be able to fill out the activities even without connection to the internet. Simply check the tasks for off-line use and, once completed, perform the desired action. Activities will automatically sync once the connection is reestablished.

In addition, it will be possible to monitor the progress of tasks on the Synchronizations screen on the application. On this screen, users will be able to view task details and perform other actions, such as editing, viewing history, deleting, or re-sending the task to the synchronization queue. 

This grants more autonomy and flexibility to perform tasks, even in environments without connection.

 

Filter on the synchronization screen

With the addition of workflow execution, the option to filter tasks by type has been incorporated, allowing the user to view the activities started through the application and the tasks under execution separately. 

Simply select the desired filter to organize and access tasks faster and more efficiently, which provides greater control and practicality in workflow management directly through the application.

From version 2.2.3 onwards, the use of the ADINTERFACE table will be discontinued in SoftExpert Workflow. Integrations that currently use this table must be adjusted to use DIINTERFACE. 

If the integration was applied to SoftExpert Incident and SoftExpert Problem, these operations must also be adapted to SoftExpert Workflow, with the unification of these two components within Workflow.
