Sharing a portal

Prerequisites

  • “Edit” permission enabled on the Configuration > Access group (CM011) menu.
  • “Share” permission enabled on the Configuration > Access group (CM011) menu.
  • Access to the Portals menu.

 

Introduction

Once created and configured, portals can be shared among system users. This way, information is passed on and knowledge of the data is acquired.

It is important to note that only SoftExpert Suite users have access to the portals.

 

 

Sharing portals

1. Access the Portals > See all menu.

2. Locate and access the desired portal.

4. Click on the More options icon. > Share button.

5. On the sharing screen, choose which user the portal will be shared with. See the options in more detail:

Specific users Select specific users to share the portal with. Use the search field to find them.
Department Select departments created in SoftExpert Suite. The users from the selected departments will have access to the portal. Use the search field to find them.
Position Select positions created in SoftExpert Suite. Users holding the selected positions will have access to the portal. Use the search field to find them.
Team Select teams created in SoftExpert Suite. The users from the selected teams will have access to the portal. Use the search field to find them.
Public Check this option to make the portal public for all users in the organization. In the search field, enter the users, departments, positions, or teams that will have permission to edit the portal.

5. Lastly, click on Share.

User following the steps described above to share a portal.

It is important to point out that the portal sharing rule will not be applied to its elements, that is, if the viewing of an analysis or a SoftExpert Analytics vision is configured in the portal, it will follow the security rule defined in the analysis.

 

Use the Copy link button to share the URL that allows for accessing the portal. The link will only be available for access by system users with permission to view the portal.

 

 

Conclusion

Once the portal is shared, the selected users will be notified via the Notification center.
