Planning an action plan
Prerequisites
- Access to the Actions and plans (PL001) menu.
- Configured category.
Introduction
Planning an action plan is an important step to organize the management of the tasks in a cohesive manner and maintain visibility as to the actual progress of the actions and their essential data.
Thus, organizational objectives can be achieved in a planned way.

Planning an action plan

- In the Responsible for planning and Responsible team for planning fields, only users who have access to the Actions and plans (PL001) menu, available as of SoftExpert Action plan version 2.2.2, will be shown for selection.
- In the Responsible for action plan and Responsible team for action plan fields, only users who have access to the Actions and plans (PL001) menu, available as of SoftExpert Action plan version 2.2.2, will be shown for selection. Fields can only be edited if the category has permission to edit enabled.
- After saving for the first time, it will be possible to add the actions to the plan. See how to assemble the action structure.
Users without access to the actions and plans menu can only be defined as responsible if the Block the selection of responsible parties when they do not have permission in the respective menus option is disabled in the Configuration > General parameters (PL021) menu. In addition to configuring the general data tab and assembling the action structure, it is also possible to use the resources from other tabs:
Security tab
The Inherit security list from the action plan category option will be checked if the Inherit (default) category security list option is also checked in the action plan category.
Thus, the category security list (configured in the Action plan security tab) will be inherited by the plan and may be viewed in this tab.
To edit the security list, the Block security change in the action plan option must not be checked in the category of the plan, and the user needs to have the "Edit" control allowed.
If these requirements are met, simply uncheck the Inherit security list from the action plan category option to be able to edit the list.

Approval tab
Under Planning, it is possible to view or define the parties responsible for approving the action plan planning after it is finished. The approval step is performed through the Planning approval to-do task.
Under Effectiveness verification, it is possible to view or define the parties responsible for the effectiveness verification of the action plan after the actions are executed and the plan is finished. The verification step is performed through the Effectiveness verification to-do task.
These approvals will only be available if they are configured in the action plan category. It may also be possible to edit them depending on the route type selected in the category.

Comment tab
Use this tab to record comments related to the action plan.
Enter a comment in the available field and click on Send. Comments can be liked or resolved using the respective buttons they provide. It will also be possible to reply to comments already left using the Comment button.
Every added comment will be displayed on a timeline in the History tab of the action plan.
Summary tab
The Summary tab displays the description, the objective, the explanation, and the benefit entered in the creation of the action plan, if any. It is possible to edit them.
In Attribute, the associated attributes, if there are any, will be displayed in the Attribute tab of the action plan category. It is possible to fill them out.
Attachment tab
The Attachment tab allows for adding attachments related to the action plan.
Files added through this tab can be deleted, edited, or viewed later, without the need to access other menus. To do so, the user must have the proper permissions.
Associations tab
In Associations, it is possible to relate documents from SoftExpert Document and indicators from SoftExpert Performance to the action plan.
To do this, in the Associations tab, simply click on the Associate button and, on the screen that will be opened, define the association type (document or indicator) and the object of the association.
If you wish, it will also be possible to create a document or indicator directly from the association screen of the action plan. In this way, the new document or indicator will be created already associated with the plan.
Request tab
This tab allows for viewing the requests being executed, as well as executing those related to the action plan, issued through the SoftExpert Request component. It will also be possible to add requests during the planning of the action plan.
This tab is only available if the SoftExpert Request component is part of the solutions acquired by your organization.
Reports tab
This tab is used to issue the action plan report, configure a new report, or associate an existing one (to view the parameters that can be used to configure new reports) by clicking on the arrow located below Reports.
Configurations tab
This tab is used to configure the timesheet of action plan actions.

Conclusion
Thus, the planning of an action plan has been created so that results can be achieved. Next, the actions must be assembled and, subsequently, executed. Additionally, it will be possible to monitor their execution.
