Planning an isolated action

 

Prerequisite

  • Access to the Actions and plans (PL001) menu.

 

Introduction

An isolated action is the record of a necessary intervention not grouped in an action plan, used to solve specific problems or reach specific goals.

The example used in this article will be of an equipment maintenance operational action, usually needed for engineering solutions.

Creating an isolated action

  • In the Responsible for execution (Who?) and Team fields, only users who have access to the Actions and plans (PL001) menu, available as of SoftExpert Action plan version 2.2.2, will be shown for selection. If no responsible parties are selected, the execution will be assigned to the logged user.
  • By enabling the External user option, it is possible to select an external user registered in the system to be responsible for the action execution.
  • In the Responsible for the action field, only users who have access to the Actions and plans (PL001) menu, available as of SoftExpert Action plan version 2.2.2, will be shown for selection. If no responsible parties are selected, tracking will be assigned to the logged user.

Security tab

In this tab, it is possible to configure the security list for the isolated action.

Approval tab

Under Planning, it is possible to view or define the parties responsible for approving the isolated action planning after it is finished. The approval step is performed through the Planning approval to-do task.

Under Effectiveness verification, it is possible to view or define the parties responsible for the effectiveness verification of the isolated action after it is finished. The verification step is performed through the Effectiveness verification to-do task.

These approvals will only be available if the isolated action has a category with configured approvals. It may also be possible to edit them, depending on the route type selected in the category.

Comment tab

Use this tab to record comments related to the action plan.

Enter a comment in the available field and click on Send. Comments can be liked or resolved using the respective buttons they provide. It will also be possible to reply to comments already left using the Comment button.

Every added comment will be displayed on a timeline in the History tab of the action plan.

 
 

Summary tab

The Where used section displays the records with which the isolated action is associated. To this end, the system displays the components and the number of records from each component that uses the action.

When clicking on a component, the system will list all the record types that use the action. When clicking on a record type, the system displays a listing with the data of the records that contain the isolated action.

In Attribute, any attributes associated with the Attribute tab of the isolated action's category will be displayed. It is possible to fill them out.

 
 

Attachment tab

The Attachment tab allows for adding attachments related to the isolated action.

Files added through this tab can be deleted, downloaded, edited, or viewed later, without the need to access other menus. To do so, the user must have the proper permissions.

 
 

Associations tab

In Associations, it is possible to relate documents from SoftExpert Document and indicators from SoftExpert Performance to the isolated action.

To do this, in the Associations tab, simply click on the Associate button and, on the screen that will be opened, define the association type (document or indicator) and the object of the association.

If you wish, it will also be possible to create a document or indicator directly from the association screen of the isolated action. In this way, the new document or indicator will be created already associated with the action.

 
 

Request tab

In this tab, it is possible to view requests that are being executed and attend to those concerning the isolated action, which are issued through the Request component.

This tab is only available if the SoftExpert Request component is part of the solutions acquired by your organization.

 
 

Reports tab

This tab is used to issue the isolated action report, configure a new report, or associate an existing one (to view the parameters that can be used to configure new reports) by clicking on the arrow located below Reports.

 
 

Configurations tab

This tab is used to configure the timesheet of the isolated action.
